When the doorbell rang at 6.47am this morning I jumped out of bed omitting a shriek of pure childlike JOY 'cause I knew when I flung open the door, an Aussie Post Courier was going to be standing there wanting me to sign for my new personal sized Malden Filofax in Ochre....And I was not disappointed....**insert big STUPID grin here**....!!!!! And how did I know....? Yesterday after clicking my UPS tracking doodad for what must have been the THOUSANDTH time over the last FOUR weeks since the GORGEOUS Margo forwarded my BEAUTY on to me, the tracking info displayed FINALLY said processed in AUSTRALIA....Yep I was BESIDE myself last night when I went to bed....Surely it would arrived TOMORROW I hoped as I drifted off to sleep....Thanks Heavens it did other wise I would have had to wait until MONDAY....BUGGER that....!!!!! I didn't linger....I tore the wrapping open to reveal the Filofax box TOOT SWEET.... And the ANGELS sang as I pushed aside the tissue paper to reveal this SEXY piece of leather beneath....**sigh**.... There's an eBay Seller in the US who refers to this particular style of Filofax as 'The Tom Selleck'....Oh YEAH....**wink**.... Here he is with my crimson pocket sized Malden I use as a wallet.... GorGEOUS.... A month or so ago I discovered the DIVINE Ms enjoyette on YouTube who did a series of videos on her own Malden personal setup which appealed to IMMENSELY....I LOVE how she was able to make such a practical tool both functional & FUN at the same time....!! So when you open 'Tom' up there are four credit card size pockets which I've popped some of my SVJ business cards in & a small notebook from Typo that I found in an Op-Shop....The pages are perforated making it a very handy little item....! This plastic sleeve has an opening at the top that I can stow larger pieces of paper, lists etc for future filing... Next up are two pages filled with Smash Pockets by K&Company though, you can also get similar ones here in Melbourne from Typo....PERFECT for stashing bits of TAT.... Horizontal year planner.... Quick ref yearly calendars.... My week on two pages....Colour coded....green is BUSINESS, blue is HEALTH & FITNESS & orange relates to SOCIAL activities...Appointment times are noted at the top of the day using an erasable pen (as appointment times can change) & I use the appropriate colour pen to indicate which appointment it relates to....Once an appt. or task has been completed I draw a line through it in red.... TO DO lists are filed under the appropriate month for quick reference.... My project section is colour coded with four individual dividers.... A ruler leads me to my SPARE NOTE pages.... This is TODAYS TO DO list which sits in between my week on two pages.... After my PROJECT section I have a map of the world followed by two pages of credit card pockets.... ....Where I stow specific business cards & stickers....The pocket on the back has a few stickers & some emergency money....shhhhhhh.....DON'T tell anyone....**wink**....!! Someone asked me how I made the dividers for my planner. There are a couple of ways that I created my dividers. When I first got my planner I dove straight in and glued my existing dividers to some patterned paper, cut around the edge, punched some holes and started decorating. I've used all sorts of things to decorate them, rub-ons, stickers, old postcards, washi tape. The possibilities are endless. And I get to use up my abundance of small letter stickers for the titles! Mostly I just wanted to have fun and if I change my mind or don't like the result, I'll simply make new ones. In fact, I'm pretty sure these are going to be changing often. But once I decided to make dividers to divide the divisions (!), I had to find another way. I could have just traced the existing dividers onto some more paper or cardstock and then cut them out, but since I'll probably be making a few of these, I created my own cut file for my Silhouette. Then I can cut out as many dividers as I need! I've included the cut file below for those of you with a Silhouette. Enjoy! Hello Friends! I've been living in my new Filofax Holborn for a couple of weeks now and I love it! The leather is beautiful and it works perfectly as a wallet for me. So, here's my set up for now as I'm sure it will evolve over time. I have a few tips and thrifty tricks that I've found...so make sure to read through the comments under the pictures :) Beautiful Leather Holborn (Personal size) I have a pocket size Filofax and for me it is to small. The personal works great for me. The Holborn has nice size rings and flexible leather,,,you can stuff a lot into this thing! ....like I said, it has great "stuffability" lol In the front I have my credit cards, drivers licence, insurance card etc. The right side is a handmade laminated divider. My Coleto pen is to fat for the leather pen holder so, I attached 2 small binder clips to the divider to make a pen holder. the little plastic hook thingie (yes, that is the technical term) fits right in there. The binder clips are decorated with a bit of washi tape. This first section is labeled "Nutrition" I keep track of my food and exercise here. ...calorie counts ...workouts....pretty flyleaf/dashboard I made. They are clear with the image printed on...you can attach sticky notes etc,,, another pretty flyleaf These decorative edged Laminated dividers are available in my shop. This section has shopping lists Little laminated pocket I made with design paper. ...divider with image from my shop. This is kind of fun....I just attached an image I printed on card stock with washi tape to make a pocket for scratch paper. The scratch paper is held together with a pretty paper clip I made. The pretty paper on the right came from one of those paper pads that stick to your refrigerator. They come in so may pretty patterns! They make me happy when I open my planner lol (Just punched holes and plopped them in) This is a great tip (If I do say so myself) These great vinyl pockets were $1.50 for 3 at Office Depot. They are Pocket protectors! I just cut the little front flap off and punched holes. This one holds my receipts This card holders holds all the gift cards I need to use and my reward cards This pocket holds store coupons The pocket on the right holds restaurant coupons The Holborn has a hidden zipper compartment...this is where I keep my cash and change. My Filofax Organization... How I organize each section of my Filofax planner.
Some time ago (in late 2011) I did a guest post for Philofaxy detailing what was then my current set-up. At the time I was still using my ochre Malden, now happily sent to a new home, and my set-up has changed a bit in the meantime. I asked Steve if he would like an update on the previous post, now (unbelievably) nearly two years old, and here it is. Of course, once again, I have to add that this is only my setup….what works for me may not work for you, but maybe will provide some ideas, particularly if you’re looking to turn your Filofax into productivity tool. I run my own business straight out of this set-up, and it works just fine. For the record, I’m using my personal vintage Hampstead binder, which I love. After much huffing and puffing, I finally admitted that A5 was never going to be portable enough for my needs, and sent both the A5s I had at the time of writing the previous, off to new homes. That led to some rationalising and careful thinking as I tried to get everything between the covers of my Personal, but I can honestly say it’s been more than worth it. As you can see, the Hampstead has two ‘proper’ pen loops, the bulky old-fashioned kind, in which I keep my Waterman ballpoint and pencil. The pencil is getting on, and so is the mechanism…. I’m really not looking forward to the day when it will really no longer grip the lead properly…. The only other binder I now own is a chestnut Cuban personal, which is beautiful, but will never replace the Hampstead, although I sometimes take it to London on business (it seems like a ‘London binder’….). Inside the binder I‘m using a set of 1-10 tabbed dividers. A friend in the US sent me my first set of these, and the wonderful Paul B recently sent me two more (I get through them!). Inside the front cover, as you can see, I have my two most frequently used debit cards, plus my Tesco Clubcard. In the flap behind these are my train tickets for upcoming trips, my business cards and postage stamps. Also as you can see, I’ve written the section headers directly onto the dividers top sheet. Tab 1 is my Notes/In section. Basically, anything which ‘comes to me’ during the day, either from others or from my own head, goes in here, and I then sort through the stuff on a daily basis, usually first thing the next morning, laptop off, phone off and before anyone else is up to disturb me. That way I can make the right choices about what actions I’m about to need to take, and where they ‘belong’ in the system. Tab 2 is my Projects section. Everything I’m working on, committed to, or which is a personal goal, goes in here. The fact that I treat goals as Projects is very important. Until I’m committed to them, they’re just pipe-dreams, so they ‘live’ in the Someday/Maybe section (see below). Once they are a Project, I then have to assign a next (first) action, which makes a lot of sense to me. I’ve currently got 32 Projects on my list. Tab 3 is my Project Plans section. Anything from Tab 2 which needs a multi-step written plan which I need to refer to goes in here, along with any project support material. Tab 4 is my diary. I like to have the diary at the centre of the binder, because it gives me a nice firm base to lean on when I’m writing on the left side of the rings. I only ever use pencil in my diary…. things change a lot in terms of meetings getting cancelled and rearranged, and I hate crossings-out. In fact, increasingly, I use pencil for quite a lot of my system. Currently I’m using a Danish Wo2P cream diary layout with appointments, next year I have the Swedish equivalent. The paper quality is better than the UK versions, and I like the layout a lot. I’ve tried DPP layouts from the same range, but I’m pretty happy seeing my whole week at a glance, as it’s my basic unit of planning. Tab 5 is my next Actions. One discrete action for each of the projects I’m committed to. No exceptions, no excuses. This makes me do the hard thinking, which lies at the heart of GTD. It’s not about the lists – it’s about properly thinking through what is the single discrete Next Action I can take to move that Project forward to completion, listing it, doing it, then thinking through the Next Action after that. I commonly have 30-40 of these at any given time. Tab 6 is my Waiting For list. If I’m dependent upon someone else to supply data for a project, rather than detailing a Next Action, it goes on here. I have 10-15 of these at any given time. Tab 7 is my Agendas section. Lists of subjects for discussion with specific individuals, errands to run when I’m next in London (or wherever), present lists, even shopping lists, all live in here. Tab 8 is my Someday/Maybe list. Anything I’d like to do which I’m not yet ready to commit to, lives in here. Tab 9 is for Information and Reference. Fixed information like postage rates, login details for various sites, my London tube map, and anything else which doesn’t change from day to day lives here. Tab 10 is for Contacts. Like most people these days, I keep my contacts in my smartphone, so this section isn’t really used at the moment. However, the OCD-completist side of me still hanker to have a complete set of contacts right there in my Filofax! Maybe one day… At the back of Tab 10 I keep a small number of blank sheets (plain, lined, To Do, which are all the layouts I now use apart from diary), then, in three credit card holders, all my other plastic, including driver’s licence. In the back zipped pocket I keep Tesco vouchers only. That’s it for the setup. I’ve got a separate piece about the importance of doing a Weekly Review (a GTD staple), planning habits and the ‘how I use this’ in more detail, if enough people want to read it. Meanwhile I hope this will give you some food for thought concerning your own set-up, particularly if you want to run GTD, ZTD or something similar out of a Personal binder which you can carry everywhere. It's three weeks of me being back to work after a year of maternity leave - need I say more?! :-) I planned weeks ago to make this blogpost, and even promised to some of you to do it, so... let's go to work without any further delay! Just to remind you where we stayed at last time: there was a christmas present which shook my ground, and it came in the shape of an Apple Green Personal Piccadilly. Can you imagine what are the odds that someone who knows absolutely nothing about Filofaxes (apart from seeing me clearly having trouble with my self-control around them) gives you a brand new Piccadilly in 2011 (I gather they were sold between 1998 - 2001)?! Only one person in the world is capable of that. My mum. :-) I have read about the Piccadilly before and frankly couldn't imagine its addictive powers. Well, now I have tested them myself and to put it short and simply: after the Malden and the Amazona and many binders in between as well, this one is without a doubt my favourite. I can't exactly tell you why. It's hidden somewhere in the mixture of the pockets layout, its vibrant colour and great soft padded surface, I guess. It's like coming home to a soft, worn, comfortable couch. There's just the chemistry that wasn't there with the previous ones! :-) Hm, but let the pictures do the talking! It lays perfectly flat out of the box and its brilliant colour was just calling for a brand new decoration... you could see me searching through decorative paper like never before and then actually making new dividers for it - now that must be love! :-) I couldn't imagine any other pen to go with it than the trusty old Bic Orange, I think it just completes the uber comfortable look and feel of the organiser! The other part of this re-decoration was my new DIY post-it accessory. The set up didn't change much though, as it was working great for me as it already was: Diary, Me (with various Lists that are marked with small top tabs each, Journal and my Finance section with the punched envelope for receipts and odd banknotes that I hide from myself), Info (Adresses, Bus Schedules, Passwords, Doctor's numbers ect.) and my little one's tab with all her important info. The only new tab was given to my Projects... now that the work began again, haha... I hope you liked it so far, and now off to the second today's topic, the to-dos system, which is my new improvement in the use of my Filofax. I always use week on two pages; not just because I have countless numbers of them, arriving with each new Filofax, but also because I find them as the best compromise between the available space and still bearable bulk of the organiser. The nature of my work is quite predictable appointment-wise, so I use the daily space mostly for my to-dos. I use different colour pens, but solely to pretty things up, I colour-code my writing only occasionally, I don't have the time or the nerve to pick the appropriate colour when on the go! Therefore I use another coding method to orientate myself quickly: I divide a day's space mentally into 4 quarters, and the quarters mean: left upper one = priority stuff, usually work or doctor's related left lower one = to-dos related to household and family right upper one = my pleasure activities, yay, I often write here the type of tea that I drink that day (very important journalling info, lol!) and right lower one = events and things of that day that I want to remember, i.e. my baby's milestones... or simply the arrival of my new Filofax Compact - ooops, but that's another post! ;-) While I have my to-dos on day's space, it is easy to check them up later; but then there are some to-dos and reminders that I want to keep in sight every time and I had to invent a hack for it. The basic idea was to write them on a post-it and move them from week to week, but I didn't like the post-it covering my days, so finally I came up with the solution: I put a transparent flyleaf in between the week's sheets and used it as a dashboard for my post-its. Ray with his incredible inventions was most helpful here, giving me the idea of diy transparent flyleaves.So this is how my dashboard looks like in action: Hopefully, any of this will be useful to you, too... and please, do share any comments and ideas!!! So here I am Filofax-wise so far; loving the binder and satisfied with the system. But. But! Of course there has to be a "but" now. And it has to do with both the binder and the system. Firstly, as I said, I love this Piccadilly like no other model so far and am already on the quest of buying all the existent Piccadillys in the world to make sure I never again remain without one. The problem with this current one is because it gets scratched sooooooo easily! After only a month and a half, the marks of use are clearly seen, and as my little one is especially drawn to it (now at least one gene of mine she's gotten...), its future is quite predictable. I guess it has to do with the binder's age and maybe dryness that, ironically, obviously even Nivea cannot fix completely. The other problem that surfaces constantly is the thickness of the binder. I love the idea of one life - one binder, but mine is as thick as a telephone book now! And since I don't use it just at home as I used to, lugging it around along with other necessities is quite a work to do. Therefore I have a few open challenges again: 1. I'll probably put my Piccadilly to rest for a while now, so I don't ruin it too much too soon. Hardly, because I cannot imagine any other binder replacing it, but it'll be necessary, I guess. But on the other hand, I did have the idea to change the binder with the change of seasons last year, so the new challenge would be - which binder to use for the nearing spring? :-) 2. I am considering a compact size binder, especially with the forecasts of the new Filofax range being a bit more compact - oriented. But will it really suit me? Ahhh, the never ending adrenalin in the land of Filofax... ;-)
